Actions in PipeAI

An Action is the primary task to complete after a Grader Run—the next step for a record (e.g., lead or opportunity). Every time you grade a record, PipeAI recommends the best next Action based on your configured recommendation method.

Getting an Action recommendation ensures you make fast, informed decisions with confidence.

Creating Actions

Actions are configured in Grader Setup and include several key components:

  1. List possible Actions – Give each Action a title summarizing the main task.
  2. Define the recommendation method – Set rules to determine when an Action should be suggested.
  3. Prioritize Actions – If multiple Actions apply, PipeAI recommends the highest-ranking one.
  4. Add guidance – Include key reminders for completing the Action.
  5. Add the Action Tasks required to call the Action “done” – Specify manual tasks and any automatic updates you want.

Which Actions Should You Create?

List major tasks in your sales or dealmaking process that depend on a record’s outcome. Common Actions include:

  • Advancing a record to the next step
  • Converting a lead to an opportunity
  • Handing off a record to a teammate
  • Booking a call or meeting
  • Sending a proposal
  • Adding a record to a nurture campaign
  • Preparing for closing
  • Winning the deal

Example Action: Sending a Proposal

Guidance: “Before sending a proposal, have a teammate review it and confirm approval.”

Action Tasks:

  • Review conversation notes
  • Draft proposal
  • Present proposal

Automatic Updates:

  • Update Stage field to "Awaiting Feedback" (using automatic updates)

Automation using Zapier:

  • Post “Proposal for [record name] sent!” in Slack.
