Expiration Timers

No group of questions and responses is evergreen. An Expiration Timer is a countdown (number of days) that tells you when to revisit questions and responses from a Grader Run to ensure they’re not outdated. 

Expiration Timers determine part of your Grader’s Run Status. A run is either Active or Expired based on the number of days set for each Expiration Timer and the number of days since you updated or confirmed all responses. 

Setting Expiration Timers

Expiration Timers are set at one of two levels based on your grader settings:  

  1. Overall Grader. If categories are off, there is only an overall grader expiration timer (no category-level timers).
  2. Question Categories. If categories are on, there are only category-level expiration timers (no overall grader timer). 

To set an Expiration Timer, within Grader Setup, select the number of days you want the timer to start with, initially and on timer reset. Timers will start after completing your first Grader Run for a record (e.g., lead or opportunity) and will continue to run and reset as you update runs by changing or confirming responses.

Choosing the Right Duration for Your Expiration Timers

Since Expiration Timers determine a Grader Run’s status, which tells you when a record needs attention, it’s important to choose the right time limits for Expiration Timers, both at the overall grade level and with each Category. 

If your Expiration Timer has too few days, you’ll have many expired records that you don’t think need an update. If your Expiration Timer has too many days, you risk missing opportunities because of outdated information. 

So, what’s the right approach?

Start by ensuring your question categories include questions and responses with similar aging characteristics — meaning, how long they’re likely to be accurate. 

Use your past experiences to determine the subsequent iterations. As a rule, it’s better to be too early than too late.
