Creating Healthy Action Rules

Rules define conditions about a record, specifying a Field and what must be true for an Action to be recommended. PipeAI uses rules to determine the best next Action when you grade a record.

Each time a record is graded, PipeAI checks which rules are met and updates the results accordingly.

Examples of Common Rule Conditions

  • Grade: Grade is between C- and B+.
  • Pipe Type: Pipe Type is Opportunity.
  • Stage: Stage is either Discovery or Waiting.
  • Custom Fields: Projected Revenue = $400,000.

When setting up rules, start simple. Use a few key conditions, then refine them over time.

Action Rule Health Issues

To ensure accurate recommendations, review your rules for gaps, conflicts, and unintended overlaps.

  • Gaps (Must fix before grading) – A record is graded but doesn’t meet any Action’s rules, preventing PipeAI from suggesting an Action.
  • Conflicts (Must fix before grading) – An Action rule includes impossible conditions, making the Action unusable.
  • Overlap (Not necessarily a problem, but worth reviewing) – A record matches multiple Actions, leading PipeAI to recommend the highest-ranking one. If unintentional, remove overlaps to improve clarity.

Optimizing Your Action Rules

  • Ensure every possible grading outcome aligns with at least one Action.
  • Check for impossible conditions in rules.
  • Review overlaps to confirm they are intentional.
