Overview
PipeAI charges organizations per seat, based on the highest-tier grader a user has access to. This document explains how our billing works, how seats are calculated, and answers common questions about managing your PipeAI subscription.
How Seats Are Billed
- Users pay for the highest-tier grader they have access to
- If a user is on multiple teams, and those teams have different grader tiers, the highest one applies
- View graders, tiers, and user access by going to Organization Settings > Graders tab
- Users only count as one seat, no matter how many teams they are on
- This means you never pay twice for the same user
- Billing is monthly or annual
- Monthly: Users with access to paid graders are billed for the full month
- Annual: Pay for a full year upfront and receive a discount
- Seat removal
- If a user loses access to all paid graders, their seat is removed from billing the next cycle
- Mid-cycle changes
- Upgrades: Immediate and prorated (you pay only for the time remaining in your billing cycle)
- Downgrades: Effective next billing cycle (no mid-cycle refunds)
Available Grader Tiers
PipeAI offers different grader tiers to match your organization's needs:
- Free: Basic grading capabilities
- Pro: Enhanced features and customization
- Pipemaster: Advanced features with comprehensive customization
- Pipemaster+ (Invite-only): Cutting-edge AI capabilities designed for large high-volume organizations

Managing Your Subscription
Viewing Billing Information
To view your organization's billing details:
- Go to Organization Settings > General tab > Plan and Billing
Choosing Grader Tiers
There are several ways to choose a grader's tier:
- Go to Organization Settings > Graders tab
- Select the appropriate tier for each grader
Adding and Removing Users
- Adding users: When you add a new user, they're immediately added to your bill, prorated for the remainder of your billing cycle
- Removing users: When you remove a user, they will continue to be billed until the end of your current billing cycle
Free Trial for New Organizations
- All new organizations start with a free trial of Pipemaster
- At the end of the trial period, your organization will automatically downgrade to the Free tier if you haven't selected a paid plan
- Important: Make sure to select a plan before your trial ends to avoid losing access to customizations and data that aren't available on the Free tier
Avoiding Billing Abuse
- If a user is removed and re-added within the same billing month, their seat remains active and charged
- Users on Free-only teams remain free
FAQ
How does billing work for annual plans?
When you choose an annual plan, you pay upfront for the entire year and receive a discount compared to monthly billing. If you add seats during your annual term, the additional seats will be prorated for the remainder of your term.
What happens if I add users in the middle of a billing cycle?
When you add a user mid-cycle, we'll charge you a prorated amount for the remainder of that billing cycle.
What happens if I remove users in the middle of a billing cycle?
When you remove a user mid-cycle, the change will take effect at the start of your next billing cycle. There are no prorated refunds for removed users.
Do you offer volume discounts?
Yes, we offer volume discounts for organizations with 10 or more seats. Please contact us at sales@pipeai.com to learn more about our volume pricing options.
How do I cancel my subscription?
You can cancel your subscription through the Billing section in your Organization Settings. Note that when you cancel, you'll maintain access to your current plan until the end of your billing period.
What payment methods do you accept?
We accept all major payment methods supported by Stripe, including credit cards and ACH transfers.
What happens at the end of my free trial?
If you don't select a paid plan before your trial ends, your organization will automatically downgrade to the Free tier. This means you may lose access to customizations and data that are only available on paid tiers.
How do I upgrade or downgrade my plan?
You can upgrade or downgrade your plan through the Billing section in your Organization Settings. Upgrades take effect immediately, while downgrades take effect at the start of your next billing cycle.
